How to edit or delete Email on iPhone

Introduction

Sometimes you will be in a position when you need to make changes to either your outgoing/incoming mail server or your iPhone email’s username/password. This process will most likely happen when you decide to switch service providers, or the administrators of the current server make a change to the email configuration on the server. Knowing how to edit the email application accounts or completely delete them from your iPhone device could save you headaches and help you transition smoothly between two hosts without missing any important emails. This guide will go over how you can edit your iPhone email accounts and delete them if necessary. Let’s get started!

 

How to access your iPhone email Account Settings

To begin, please unlock your iPhone and tap on the “Settings” icon.

After you are on the “Settings” screen, please scroll down and locate the “Password & Accounts” link.

Please tap on the “Passwords & Accounts” option. When you get redirected to the new screen, you will see the “Accounts” section and underneath, a list of all your accounts. Please tap the iPhone email account you want to edit.

When you select the email, you will be redirected to a screen, allowing you to delete it or to enter the settings page for the same. To enter the settings page, please tap on the “Account [email protected]” option showing at the top of the page.

 

Accessing the Account Settings

 

The above action will redirect you to the “Account” page where you should see three sections: “IMAP/POP3 ACCOUNT INFORMATION” (IMAP or POP3, based on the email account type), “INCOMING MAIL SERVER, and “OUTGOING MAIL SERVER.

 

Editing the iPhone Email Settings

We will go over the first section within the settings page called the “IMAP/POP3 ACCOUNT INFORMATION”.

 

IMAP/POP3 ACCOUNT INFORMATION

You have the following options that allow you to change:

  • Name -  When you tap on this text field, you can change your iPhone email account’s display name.
  • Email - Tapping this field will allow you to change the iPhone email account itself with a new one, which you can add. If you are not sure how to do that, please check our How to Set up an iPhone Email account tutorial.
  • Description - If you tap on this text field, you may change your account’s description to match your new needs.

 

IMAP Account Information

 

Please press the “Done” button on the top right corner of your display when you finish the new iPhone email setup.

INCOMING MAIL SERVER

In this section, can modify the incoming mail server settings, such as:

  • Host Name - Tapping this text field allows you to alter the name of your incoming mail server.
  • Username - Tapping this text field will allow you to change the username of your incoming mail server.
  • Password - Tapping this text field allows you to change the password of your incoming mail server.

After completing these alterations, please tap the “Done” button, located on the top right corner of your iPhone.

 

OUTGOING MAIL SERVER

Tapping the option under the “OUTGOING MAIL SERVER” section will allow you to enter those settings. Please tap on the “SMTP” link located underneath the “OUTGOING MAIL SERVER” label.

 

Outgoing Mail Server Settings

 

This action will redirect you to the “SMTP” page, where you can change the outgoing mail server for your iPhone email account. You will see “Primary Server” and “Other SMTP Servers” sections with options. 

By default, the “Primary” server will typically have the “On” flag while the rest will have the “Off” flag, meaning they will not be used to send mail. In our example, the “Primary” server is “Off”, however, this fact should not confuse you, as the aim of this tutorial is to teach you how to edit the SMTP setting of a given server. 

Additionally, you will have the “Add Server...” link, which allows you to add additional SMTP servers on your iPhone.

 

Accessing the SMTP settings

 

Please tap one of the options under the “SMTP” page of your iPhone device to change your SMTP server.

 

Editing SMTP servers

 

This will give you the following options:

  • Server - This toggle switch will allow you to turn On/Off the iPhone’s SMTP server.
  • Host Name - Tapping on this text field will allow you to edit your server’s Host Name.
  • Username - Tapping on this text field will allow you to edit your server’s Username.
  • Password - Pressing this text field with your finger will allow you to change your server’s password.
  • Use SSL - This toggle switch will allow you to enable your iPhone’s outgoing mail server to use an SSL.
  • Authentication - This link will open a page where you can change the Authentication type. We highly recommend leaving the default “Password Authentication” option.
  • Server Port - This option will let you change the outgoing mail server’s port on your iPhone. Unless your current service provider does not give you a custom port, please stick with the default 587 one for TLS, 465 for SSL, or 25 for NON-SSL.

 

Edit Primary SMTP Settings

 

When you have adjusted the settings, please tap on the “Done” button located on your screen’s top right corner.

This process is analogical for the rest of the servers under the “OTHER SMTP SERVERS” section. 

 

Adding a new iPhone email SMTP server

Adding a new SMTP server for your iPhone's email application is straightforward as well. To do so, please tap on the “Add Server...” option located at the bottom of the “OTHER SMTP SERVERS” section.

Upon tapping on the “Add Server...” link, you will be redirected to a new screen, allowing you to enter the credentials of the new server:

  • Host Name - In this text field, please enter the hostname of your new SMTP server.
  • Username - In this text field, please enter the username of your new SMTP server.
  • Password - In this text field, please enter the password of your new SMTP server.

 

Configuring SMTP Server

 

Please tap on the “Save” button located at the top right corner of your screen after adding the new server to save it. It will now appear in the list under the “OTHER SMTP SERVERS” section.

The last option we are going to discuss briefly is the “Advanced” settings. It allows you to customize your iPhone’s email box’ behavior, and we highly recommend keeping the default settings there as they are the most optimal.

 

Accessing Advanced Settings

 

When you have made all necessary changes on this page, please tap the “Done” button on your iPhone’s top right corner.

 

Deleting an iPhone Email Account

Deleting your iPhone emails is easy. Please unlock your device and tap the “Settings” icon.

Scroll down and locate the “Password & Accounts” link. Please tap on it to get redirected to your email accounts page.

When you land there, you will notice all your iPhone emails listed there. To select an account you want to delete, please tap on it.

When you tap on the desired account, you will land on its management page. At the bottom of the screen, you will see the “Delete Account” button. Please tap on the “Delete Account” button to delete the account from the email application.

Once you confirm the deletion process, the iPhone email account will no longer appear underneath the “Accounts” section inside the “Passwords & Accounts” page.
